How to share, link, and reassign contacts between accounts and sites

RepMove’s contact management update allows users to link, share, and reassign contacts across main accounts and job sites, improving efficiency and reducing duplication. The features are available on both web and mobile platforms, with integrated note-taking for comprehensive record management.

Key Features

1. View All Related Contacts

  • Users can now view contacts not only from the main account but also from any linked job sites or satellite locations.
  • When the "View All Related Contacts" option is enabled, contacts from all connected projects and locations are displayed, along with the account each contact belongs to.

2. Contact Ownership and Reassignment

  • Each contact must be assigned a main account, which can be changed if the contact moves to a different site or company.
  • In the contact edit screen, users can adjust the main account and link the contact to additional job sites or satellite locations.
  • Linked contacts appear in the contact lists of all associated accounts, ensuring up-to-date information without duplication.

3. Linking Contacts to Multiple Locations

  • Contacts can be linked to several job sites or satellite locations, making them visible wherever they are relevant.
  • This is especially useful for contacts who work across multiple projects or locations.

5. Notes Integration

  • When adding notes to a job site or satellite location, users can select contacts from both the main account and linked locations.
  • Notes are saved on the job site and linked back to the selected contact, regardless of their main account assignment.

Getting Started

  • Viewing Related Contacts: Enable "View All Related Contacts" in the contacts section of any account or job site.
  • Editing Contacts: Use the edit function to change ownership or link contacts to additional locations.
  • Managing Notes: When adding a note, select from all related contacts to ensure accurate record association.
