Pipeline Rules & Deal Auto-Creation
Learn how to set up pipeline rules to automatically create deals when new accounts are added, helping your team track prospects and projects from day one.
RepMove's pipeline rules allow deals to be created automatically when a new account is added to the system. This is especially useful for:
- Tracking new prospects as they move through your sales funnel until they become active customers
- Managing leads from external sources such as lead generation platforms or project bidding sites
- Tracking new site locations and monitoring them through project stages until contracts or purchase orders are won
Pipeline rules are configured by Admin users. Reps in the field interact with the pipeline once it is live.
Setting Up Pipeline Rules (Admin)
- Log in as an Admin user and navigate to Settings in the left menu.
- Select Pipeline Rules from the settings menu.
- Create a New Pipeline
- Click to create a new pipeline and give it a name (e.g. "Prospect Flow" or "Project Tracker").
- Add your custom stages (e.g. New Prospect → Decision Maker Met → Quote Presented → Closed Won / Closed Lost).
Define the Pipeline Rule
A pipeline rule determines when a deal is automatically created and which pipeline and stage it lands in. For example:
- Rule: When a Prospect account is created → automatically add to the "Prospect Flow" pipeline at the first stage.
- You can set multiple rules to route different account types into different pipelines or stages.
- Alternatively, set a single rule that drops all accounts into the first stage and let the rep move them forward manually.
The account itself is treated as the deal in this flow. You are tracking the account through its stages, not a specific quote.
Creating Accounts with Deals (Web)
Once pipeline rules are in place, any user creating a new account on the web portal will see a Deal Amount field on the account creation page.
How to Create an Account with a Deal
- Go to the Accounts page and click the
button in the top right corner. - Fill in the account details: name, address, type, and any other relevant information.
- Enter a Deal Amount. This can be an estimated value, or a nominal amount such as $0.01 or $1.00 if no value is known a value greater than zero is required to trigger the deal creation.
- Click Save. The account will be created and a deal will automatically appear in the corresponding pipeline within moments.
The deal will appear under the account details and also in the Deals section of the platform. It may take a moment to populate after saving.
Updating the Deal Stage
Once the account is created, you can update its pipeline stage directly from the account detail page:
- Open the account and locate the pipeline stage indicator at the top of the details view.
- Click to update the stage as the prospect progresses.
- This updates the deal in the pipeline view in real time.
Creating Accounts with Deals (Mobile App)
The same deal creation flow is available on the RepMove mobile app.
How to Create an Account on Mobile
- Tap the Create (+) button from any of the creation areas within the mobile app.
- Select the account type and fill in the account details.
- Enter a Deal Amount again, any value greater than zero will trigger the pipeline rule.
- Tap Save. The account is created and automatically added to the correct pipeline.
- You will see the deal amount and pipeline stage displayed directly on the account card.
- Tap into the account to review the current stage and update it as needed.
Bulk Import with Pipeline Rules
If you have a list of prospects or projects to add in bulk, you can import them and have pipeline rules applied automatically:
- Go to the Accounts page and use the Import function.
- When importing, assign the correct account type (e.g. Prospect or Site) to ensure the pipeline rule is triggered for each account.
- If your import includes category or tag rules, these can also be applied in bulk during the import process.
- All imported accounts meeting the rule criteria will be automatically added to the pipeline at the designated starting stage.
This is a great way to populate your pipeline quickly when onboarding a new prospect list or a batch of project leads.
Tracking & Reporting in the Pipeline View
Once your pipeline is populated, the full Deals view gives your team and leadership visibility into:
- How many new prospects are entering the pipeline
- Which stage each prospect or project is currently in
- How many are converting to customers vs. being closed as lost or not viable
- Overall pipeline value based on the deal amounts assigned at creation
